JOB PURPOSE Working as part of a team you will provide administrative support to the Well Completion Technologies department, including preparation of general correspondence, updating of databases/spreadsheets, booking of travel, arranging visas ,raising requisitions, supporting the QA and HSE department with general admin KEY RESPONSIBILITIES (In no particular order)
Provide Administrative support:
General administration Support e.g. photocopying, scanning, filing, laminating, organising meetings etc.
Mail distribution for WCT.
Organisation of meetings / booking rooms, lunches, equipment etc as required.
Booking external training courses,
Booking travel and arranging any required visas
Timesheets:
Update of payroll spreadsheet for hourly paid workers within manufacturing department and update with holidays sheets
Winpak:
Assist in issue of Swipe cards for Dyce Facility.
Archiving:
Assist with archiving and control of archive register.
Requisitions:
Raising of purchase requisitions/cheque requests.
Monthly Graphs:
Collecting and collating information from relevant departments for plant manager at month end.
Provide administration support to QHSSE department in the following tasks:
Under guidance from QHSSE department
Update/maintain eye test / DSE records within sharepoint.
Collect observation cards on regular basis.
Scanning of Work and documentation packs.
Control of Roll Call Register.
Maintain first aid room.
Any other delegated responsibilities as instructed by Line Management within the timeframe specified in a safe and efficient manner to meet business requirements, provided the instruction is reasonable and you are capable and deemed competent to fulfil these .
QUALIFICATIONS
Essential:
Must be educated to a secondary school level of education.
Preferred:
HNC Business Administration
EXPERIENCE/COMPETENCE
Essential:
Proven experience in an administration role.
An understanding of management systems (HSE / Quality).
Excellent Computer skills â" Word, Excel, Outlook.
Ability to work accurately to prescribed timelines.
Preferred:
Microsoft Project, Visio, Access, Powerpoint
SKILLS/KNOWLEDGE Essential
A high level of accuracy.
Good time management.
Good organisational skills.
Team player with service orientated skills.
Excellent written and verbal communication skills.
PERSONAL QUALITIES Essential
Ability to use own initiative.
