Assist in the production of financial reports. To act as first point of contact for all HR issues. Main Duties and Responsibilities
1.Be responsible for monitoring income and expenditure using the University’s financial model. Be responsible for resolving any queries independently.

2. In line with University policies be responsible for an effective administration process for weekly expenses, ensuring all necessary receipts are provided and reconciled.

3. Assist the Resource Manager in managing the expenditure in relation to overseas agent commission. Being independently responsible for an effective administration system for processing all invoices, ensuring invoices received are accurate in terms of student registrations and level of commission claimed. Maintain detailed records of expenditure.

4. Responsible for the administration of the recruitment process for vacancies within the Service, providing advic! e to recruiting managers with respect to up-to-date recruitmen! t processes.. Ensure all necessary paperwork has been completed and is accurate. Liaise with Human Resources as appropriate.

5. Responsible for the recruitment of temporary staff as required in line with University processes. Advising recruiting managers of up to date procedures and authorising timesheets and processing invoices.

6. Manage administrative staff flexi-time system using the University’s Human Resources model.

7. Responsible for processing all overseas agent commission invoices within agreed timelines. Provide reports on expenditure to date and forecasting for the remainder of the financial year.

8. Respond swiftly and effectively to all enquiries from prospective students, teachers and overseas agents; maintaining excellent customer-care skills at all times. Ensure that any enquiries that cannot be resolved immediately are passed on to an appropriate person and resolved.

9. In the absence of the Resource Manager, ! act as supervisor for the Management Support Team, resolving any issues should they arise. Where possible, resolve any Service-wide operational issues otherwise referring to the Director. Act as RIO’s main point of contact for Human Resources and Finance Office, resolving any issues where possible, otherwise referring to the Director.

10. In conjunction with the team, act as first point of contact within the Service Reception for all visitors; and provide guidance and support to teams within the Service for the collation and distribution of registration documents for applicants.

Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications

Essential:
A1 HNC, VQ3, Higher grades or equivalent in relevant subject.

A2 Knowledge HR Practices eg. Purchasing and Procurement, Human Resources, Sick Leave, Financial etc.
A3 Comprehensive knowledge of financial record keeping.

Desirable:
B1 Knowle! dge of University scholarship schemes.

B2 Knowledge of Univers! ity exchange programmes.

Skills

Essential:
C1 Ability to manipulate databases and spreadsheets.

C2 Excellent IT skills.

C3 Excellent written and oral communication skills.

Experience

Essential:
E1 3 years' relevant experience with qualifications or evidence of progression and development gained through 4-5 years' relevant work experience.

E2 Experience of dealing with a wide range of customers including students to senior academic staff from the UK and overseas.

E3 Experience of budget monitoring ! with varying types of expenditure.

E4 Experience of using human resource recruitment procedures.

E5 Experience of working in a customer focussed environment.

E6 Supervisory experience.

Desirable:
F1 Previous experience of working with the Agresso financial system.

Problem Solving

Resolve any issues relating to day to day budget monitoring

Resolve any issues with regard to outstanding invoices or difficulties with external suppliers.
Resolve any issues in relation to Human Resources across the Service. Escalate to the Resource Manager as required.

Resolve any issues that may arise in the absence of the Resource Manager, escalating where appropriate

Salary will be on the Management, Professional and Administrative Grade, level 5, £20,172 - £24,049 per annum.

This post is full time and open ended.

New entrants to the University will be required to serv! e a probationary period of 6 months.

The successful candidate will be eligible to join the University of Glasgow Pension Scheme (UGPS).
