The Proposals Co-ordinator plays a key role in the ITO Process, being primarily responsible for the provision of accurate product/service costing, ensur! ing that the optimal commercial terms are included in different types of proposal packages and supporting the front end sales team in formulating market pricing. The role also requires you to carry out proposals co-ordination duties as workload dictates, ensuring that requests and bid documents are coordinated to meet internal/external deadline.
Essential Functions/Responsibilities
Receive and Review Sales Enquiries
Prepare and Issue Quotations, co-ordinate input as required from other groups in accordance with the scope of supply requirements.
Review Customer Purchase Orders, and Contract Call-Off's.
Ensure an efficient and effective handover to OTR Team.
Carry out Contract Review, and Issue Customer Order Acknowledgements confirming order content and delivery schedule.
To be proficient in quotation and contract administration assisting the Commercial Team to adhere to the contract terms.
Manage commun! ications, ensuring the Commercial Manager is aware of clarific! ations, qualifications or exceptions.
Administration of contract obligations in compliance with contract conditions and company compliance and operating procedures.
Operate a proficient document control system ensuring documentation relating to the Customer account is properly registered, circulated, controlled and easily accessible to the Commercial Team.
Provide accurate and timely reporting as required by the Customer, CSE's and Commercial Team.
Contractor Ideal/Special Experience:
Business Management Systems: Has a good working knowledge of business Management systems.
Compliance: Has a good understanding of compliance code in respect to dealing with Customer enquiries & quotations.
Cost Control: Has a good understanding of cost control, and pricing and margin Guidelines.
Document Control: Has a good understanding of and a thorough approach to setting up and maintaining! document control systems.
Contract awareness: Can establish duties and responsibilities required of their role through reviewing the contract. Sets up and maintains systems to deliver against these.
Procurement Awareness: General understanding and knowledge of MRP systems.
Flexibility: Successfully adapts to changing demands and conditions.
