Location: Aberdeen Scotland

Description: Prodrill Energy Resource Solutions is currently interviewing Office Administrator right now, this career will be placed in Scotland. The core purpose of this position is to proactively support the Office and Operations in all areas of administration relating to Prodrill's global recruitment services. You will be ! the first point of contact for all office related matters, including; Property Maintenance, Fire/Alarm Maintenance, Office Health and Safety matters, Office Equipment Maintenance, Cleaning and Rest Room Service Supplies and liaise with all related third party companies, including suppliers as necessary.

You will be responsible for developing standard office practices with methodical reference point procedures, ensuring communication to staff on a regular basis.
Update and maintain 3rd party members’ information, including FPAL and IADC information.

Responsible for co-ordination of Prodrill Customer Confidence Index Surveys (CCI) twice yearly to consultants and clients, co-ordinate results, provide feedback to Operations Manager for action and record, following flowchart procedures.

Carry out regular quality audits of the Prodrill website, and ensuring that all errors are fedback to media Partner. Proactively ensure that all relevant website ! information is changed and updated as necessary.

You ! are the first point of contact for all standard IT issues. Liaise with external IT support Company as well as recruitment database providers.

Provide adhoc project and secretarial support to the Directors and Management.

Scan all relevant documents as and when required.

Carry out reception duties including; receiving incoming calls, organise telephone conference calls, receive visitors, keep reception area tidy, collect and distribute mail on a daily basis, prepare outgoing mail, arrange collections from courier and complete relevant paperwork, maintain appointments schedule for the meeting rooms facility and organise refreshments in advance of meetings. Ensure rooms are cleared after meetings.

Set up and maintain new files when required.

Support the Operations Administrator on a daily basis.
