Services & logistics is responsible for supporting Head of Delivery within Group Lean and Service Management and the Senio! r Managers.

Perform standard project assistant and coordination activities for the Group Lean & Service Management Senior Management Team:

§ Play an active role in Head of Delivery’s diary management with adhoc support provided to Senior Lean Leaders when requested

§ Responsibility for e-mail management for Head of Delivery including assistance with correspondence and support to Senior Management through holiday periods

§ Responsibility for all travel bookings adhering to RBSG policy for Head of Delivery, Head of Lean Methods, Principles and Policies and Senior Management

§ Responsibility for Head of Delivery and Head of Lean Methods, Principles and Policies expenses management and Senior Management where requested

§ Gather requirements for Head of Delivery and Head of Lean Methods, Standards & Policies to ensure they are fully prepared for all meetings

§ Responsibility for capturing action points with c! lear owners and timescales during required meetings

Â! § Responsibility for ensuring all action points updated pre-regular meetings to ensure most value add use of time in the meeting

§ Preparation of presentation documentation and creation of presentation library

§ Supporting additional Practice Management activity where and when required

Experience:
§ Demonstrated ability to tackle multiple tasks simultaneously and prioritize work based on external factors

§ Demonstrable experience of developing strong relationships with key stakeholders and decision makers

§ Strong interpersonal, oral/written communication skills (including workshop facilitation)

§ Competent use of Microsoft Office; excellent knowledge of MS PowerPoint, Excel and Word

Deliverables:

  • Record and collate information from a range or sources using a variety of processes
  • Undertake routing analysis of information and provide interpretation, using learnt and established techniques and preformatted documents
  • Identify, understand and resolve routine issues
  • Document existing activates/processes
Providing a professional front office, representing GL&SM

Management of ad-hoc projects and assignments as required with minimal direction

Management of correspondence of a highly confidential nature in an appropriate manner

KPIs:
100% of travel booked within RBSG policy guidelines

  • A pro-active approach with the ability to work off own initiative
  • Excellent PC skills required including advanced experience of MS Word, PowerPoint & Excel - ability to create data base’s with complex formulas essential
  • Effective communication and influencing skills in! cluding good written and verbal communication skills
  • Excellent! attention to detail, and a commitment to producing high quality, accurate, reliable and professional work
  • To be able to effectively manage priorities in a time critical environment
  • Strong planning, prioritisation and organisation skills and proven multi-tasking abilities.
  • Initiative, flexibility, willingness to learn and a “can do” attitude. Works flexibly and thrives under pressure
  • Ability to handle sensitive and confidential information with the utmost of discretion
  • Ability to influence and manage relationships with senior staff across Group Services
